Once AI Connect is set up, querying your labor data works the same way as asking any question in your AI assistant. You type in plain language, and the AI handles the rest. But a few habits will help you get better answers faster.
Start with What You Actually Need
The most effective queries are specific. The more context you give, the more useful the answer.
Less effective "Show me hours."
More effective "What are the total hours worked by each employee this pay period?"
Less effective "Check attendance."
More effective "Which employees had a missed punch in the last seven days?"
You don't need to use technical language or special commands. Just ask the question the way you'd ask a colleague who had access to the data.
Specify Time Ranges When It Matters
Without a time range, the AI will use a default window or ask you to clarify. If you have a specific period in mind, include it.
- "How many hours did the night shift log this week?"
- "Show me exceptions from the last pay period."
- "Who requested time off in December?"
Filter by Team, Department, or Individual
AI Connect can narrow results by employee, group, or department. Use this to avoid getting more data than you need.
- "What is Sarah's PTO balance?"
- "Are there any missed punches for the shipping team this week?"
- "Who in the management group is scheduled this weekend?"
Ask Follow-Up Questions
You don't have to start fresh each time. AI assistants maintain context within a conversation, so you can build on previous answers.
- "Show me overtime hours for this week." [sees results]
- "Which of those employees has the highest regular rate?"
- "Can you summarize that by department?"
Example Prompts by Category
Hours and Payroll
- "Give me a pay period summary for all employees."
- "Which employees worked more than 40 hours this week?"
- "How does this week's total compare to last week?"
Attendance and Exceptions
- "Do any employees have unapproved exceptions right now?"
- "Who clocked out more than an hour early yesterday?"
- "List all missed punches from this pay period."
Schedules
- "Who is on the schedule for Tuesday's afternoon shift?"
- "Is anyone working a double shift this week?"
- "Show me the full schedule for the production team next week."
Time Off
- "What PTO balance does Marcus have?"
- "Are there any pending time-off requests I need to approve?"
- "Who has approved time off next week?"
Workforce Status
- "Who is currently clocked in?"
- "Is the day shift fully clocked in right now?"
- "How many people are on the clock right now?"
When the AI Asks for Clarification
Sometimes the AI will ask a follow-up question before pulling data. This usually happens when a query is ambiguous — such as asking about "this week" when the pay period doesn't align with the calendar week, or asking about "my team" when team assignments aren't defined in the query.
Just answer the clarifying question and the AI will proceed. This is normal and expected behavior.
What AI Connect Cannot Do
AI Connect gives your AI assistant read-only access to your timekeeping data. It cannot:
- Edit or delete time records
- Approve punches or schedule changes within TimeTrakGO
- Process payroll
- Access data outside of TimeTrakGO
For any changes, log into TimeTrakGO directly.
