How to create a new Salary Pay Policy

Set up a salary pay policy, including minimum hours, overtime, and meal break settings.

Creating custom pay policies in TimeTrakGO lets you tailor time and labor calculations to specific employee groups. This article walks through creating a new salary pay policy, including overtime settings, pay codes, and meal break rules.

Step 1 Access the Pay Policies and Overtime Feature

  • Log in to your TimeTrakGO account.
  • Navigate to the Feature Manager section.
  • Locate and select the Pay Policies and Overtime feature.

Click Settings within the Pay Policies and Overtime feature.

Step 3 Create a New Pay Policy

Click Add New Pay Policy to create a custom pay policy.

Step 4 Provide Policy Details

  • Enter a descriptive name for the new pay policy (e.g., "Salaried with Overtime").
  • Select the appropriate policy type. For this example, choose Salary.
  • Click Save to create the new pay policy.

Step 5 Configure Overtime Settings, If Applicable

  • Overtime only applies to Salary Non-Exempt configurations.
  • Once the pay policy is created, navigate to the Overtime tab within the pay policy settings.
  • Define overtime rules, such as when overtime starts (e.g., after 40 hours in a workweek).
  • Specify any overtime exceptions or premium pay rules, if applicable.

Step 6 Verify Pay Codes

  • Go to the Rules tab within the pay policy settings.
  • Review the default pay code for salary hours and verify the overtime pay code, if applicable.
  • Make sure the pay codes align with your payroll system and reporting requirements.

Step 7 Configure Minimum Salary Hours and Clocked Hours

  • Minimum Hours automatically generates the guaranteed salary hours. For Salary Non-Exempt, clocked hours are used but adjusted to meet the weekly guaranteed salary hours. For example, clocking 38 hours generates an additional 2.00 hours of salary to reach a 40.00-hour minimum.
  • Show Clocked and Auto-Generated Hours Separately lets you use an alternate pay code for the auto-generated hours. For example, clocking 38 hours would show as 38.00 Hours Salary plus 2.00 Hours Salary Not Clocked.

Step 8 Configure Meal Break Settings

  • Navigate to the Breaks tab within the pay policy settings.
  • Define meal break durations, whether they're paid or unpaid, and the break policy (Clocked, Auto Deduct, or None).

Tip: Test a new pay policy with a small group of employees before rolling it out, and review pay policies periodically to keep up with changing labor laws.
